Collectors Global Privacy Policy

This Privacy Policy describes the practices of Collectors Universe, Inc. and its affiliated companies (collectively “Collectors,” “we,” or “us”) with respect to personal information we collect in connection with our websites, mobile applications, or from any other interaction (such as emails, newsletters, or forms) where we display or link to this Privacy Policy (collectively referred to as our “Services”).  By accessing or otherwise using our Services, you consent to the terms of this Privacy Policy.

If you reside in the U.S. or Japan, please see respectively the Collectors U.S. Privacy Notice, located here, or the Japan Privacy Policy (日本におけるプライバシーポリシー), located here, with regard to personal information we collect in connection with the Services and as otherwise indicated.

Information We Collect.  We collect personal information that varies depending on how you interact with us.  Below we describe the types of personal information we may collect and the sources from which we may collect them.

  • Information you provide. We collect personal information that you provide to us when using our Services or otherwise interacting with us.  This includes the following types of personal information:

  • Account and contact information: Our Services enable you to create an account.  If you do, we may collect your name, email address, mailing address, phone number, login credentials, and any further account information you provide, such as (for example) preferences you set.

  • Phone Number for SMS and/or Text Messaging: We may solicit your mobile number to send you account recovery information, MFA verification codes, and related communications via SMS message. Your mobile information (i.e., phone number) will not be shared with third parties/affiliates for solicitation, marketing, or promotional purposes. Text messaging originator opt-in data and consent information will not be shared with any third parties for their own purposes.

  • Order information and transaction history: Our Services offer products and services for purchase, membership, subscription, or other transaction.  We collect data about the transactions you engage in with respect to our Services.  Your orders and/or transaction history will be associated with the account(s) under which you log into our Services.

  • Payment or financial information: Our Services may facilitate the collection of your payment and billing information by our payment processor(s).  If you provide payment method information, you authorize Collectors (including via a credit card processor of Collectors’s choosing), to receive appropriate card and billing information, bill such credit card, and make such charges as applicable.

  • Information about collectibles: Our Services may enable you to send us collectibles, provide information about collectibles you own, and/or buy, sell or consign collectibles.  If you do, we collect all information you provide us about such collectibles, such as (for example) a description of the collectible(s) and its condition, prior grading information, the collectible’s estimated value, and photos or images of collectibles.  If you send collectibles to us, we may also record additional information in connection with receiving, grading, storing, returning, or taking any other action in respect of your collectible(s), such as taking photographs of your collectible(s), adding condition or grading information, providing verification or certification numbers or taking any other action in respect to a collectible.

  • Your posts:  If you create an account with us, you may join message boards or similar user forums within our Services.  We collect all information you post, share, or otherwise submit or provide while using message boards or similar fora.

  • Event registration and participation information: Our Services may enable you to sign up or register for events.  If you do, we collect your name, contact information, and registration information.

  • Job applicants: If you apply for a job with us, you generally provide (a) your name and contact information, (b) all the data you provide us in connection with your application, such as your work experience, educational background, professional information (such as certifications, trainings, language abilities, etc.); and (c) any further information you provide in a CV, resume, cover letter, or letter of recommendation.  We also collect information about how you use and interact with our online job portals; this is collected directly from your device and your interaction with our portal. In general, providing the above information is optional.  You can opt out of providing information to us by not entering it or not using our Services.  However, not providing personal information to us may hinder our ability to provide and/or your ability to use our Services. For job applicants located in Mexico, please refer to Supplemental Section A, “Supplemental Terms for Mexico,” at the bottom of this Policy.

  • Information provided by others.  Others may provide information to use relating to you in connection with your use of our Services.

  • Information about you or your collectibles:  We may obtain information relating to you or your collectibles from third-party sources, including identity verification services, Collectors affiliates, auction houses, and marketplaces.  For example, we may use third-party sources to verify your identity and/or your ownership of certain collectibles; verify existing grades, certifications, or similar prior examinations; confirm information about ownership and/or prior sales; determine whether you have a claim relating to the loss, damage, or other event relating to a collectible; or obtain any further information relating to you or your collectibles.

  • Job applicants: Where permitted by law, we may receive information from third parties relating to pre-employment screenings and tests, such as background checks if applicable, as well as from other third party providers that assist us with human resources and recruitment processes. For job applicants located in Mexico, please refer to Supplemental Section A, “Supplemental Terms for Mexico,” at the bottom of this Policy.

  • Data from generally-accessible sources:  Where permitted by law, we may obtain personal information and/or information about your collectibles from data providers, and/or from publicly available sources, such as online marketplaces, social media channels, or other publicly-accessible channels where you have made information about yourself available.

  • Data collected automatically. When you use our Services, certain information about your device and web browser are automatically collected in connection with providing the Services to you, such as your IP address, device type, and operating system.  This data is collected directly from your interaction with our Services.

  • Usage information. We may collect information about how you use and engage with our Services, such as searches you conduct within our Services, how long you spend on specific pages, information or features you engage with, customizations or preferences you request or create, and other activity you engage in while using our Services.  We collect this information directly from you and/or your device or browser.

  • Information collected by cookies. Our Services may use cookies or other similar technologies.  These technologies may collect information about your device, your browser, and your use of and activity within our Services.  The data collected by cookies may include the “Data Collected Automatically” and “Usage Information” described above.  This information may be collected directly from your device or browser.  For more information on the cookies and similar technologies we use, please see our Cookie Statement below.

  • Communications between you, us, and others. We may collect information about you in connection with requests or inquiries you make to us, whether done by email, phone, online submission, or otherwise.  Our Services may also enable you to communicate with others, in which case we may receive a copy of messages you send to others.

We may combine the information you provide to us with information that we collect through automated methods, and with information we receive from other sources. For example, when you add a method of payment to your account, we may combine your profile with information we receive from our payment processors or other providers regarding transactions made with the same payment credentials.

How We Use Information. We process personal information for the following purposes and – to the extent applicable – on the following legal bases:

  • Operate, manage, and provide our business and our Services. We use personal information to operate our business and provide our Services to you and others.  This includes providing the Services and all their technologies and functionality; receiving, storing, authenticating and grading collectibles; operating and/or managing collectible marketplaces and/or transactions or other interactions between collectors, dealers or other sellers, consignors or consignees, or others; evaluating and providing information about collectibles, such as actual or potential collectible prices or market values; facilitating events; enabling bidding capacity; managing relationships with our customers and prospective customers; reporting, monitoring, accounting, and other management activities; and any other activity relating to the operation of our business.  The legal basis for this processing is generally our performance of a contract with you, as well as our legitimate business interests.

  • Communicate with you and process your requests. We use personal information to communicate with you, including (without limitation) regarding your transactions, or via our newsletters.  You can opt-out of receiving our newsletters at any time by clicking the “Unsubscribe” link in any newsletter, or by emailing us as outlined in the “Contact Us” section below.  We also use your information to process, evaluate, and respond to any requests or inquiries you may make.  The legal bases for this processing are your consent, our performance of a contract with you, and/or our legitimate business interests, as applicable.

  • Analytics, improvement, and product/service development. We may use personal information to analyze, evaluate, and improve our Services, our technologies, and our business; to develop new technologies, products, and services; learn about our users; conduct research; evaluate user engagement with our Services; and facilitate the functionality and new functionalities in our Services.  The legal basis for this processing is our legitimate business interests.

  • Marketing. We use personal information to market to you and others regarding matters that may be in your interest, including via sending you direct marketing, and/or by delivering targeted and interest-based marketing within our Services and elsewhere, each as permitted by law.  You can opt-out of marketing emails at any time by clicking the “Unsubscribe” link in any such email, or by emailing us as set forth below in the “Contact Us” section.  The legal basis for this processing is your consent or our legitimate interests, as applicable.

  • Personalization. We may personalize the Services we offer to you or to others, including (but not limited to) by showing you content, features, or other Services provided by Collectors that we think you might like or be interested in.  The legal basis for this processing is our legitimate business interests.

  • Processing job applications. If you apply for a job with us, we use personal information to process your application, evaluate your candidacy, and facilitate the hiring and onboarding process  (where applicable).  The legal basis for this processing is generally our compliance with employment law, our performance of a contract with you, and our legitimate interests.

  • Protection of interests, security and integrity. Personal information may be used to protect the health, safety, welfare, rights, or interests of you, us, any third party, or the general public.  It can also be used to protect the safety and integrity of our Services, troubleshoot issues, and detect and prevent errors, fraudulent activity, or other potentially wrongful, harmful, or illegal activity.  The legal bases for this processing are our compliance with law, the protection of individuals’ vital interests, and the legitimate interests of us or of third parties, as applicable.

  • Compliance and claims. We may use personal information to comply with, establish, assert, exercise, defend against, or enforce any legal claims, legal rights, legal obligations, legal process, government requests, Collectors policies, internal investigations, or prudent security or business practices.  This includes (but is not limited to) enforcing this Privacy Policy, our User Agreement, and any other contract(s) or agreement(s) we may have with you.  The legal bases for this processing are our compliance with law and the legitimate interests of us or of third parties, as applicable.

  • As otherwise notified or permitted. We may also use information we collect for any other purpose notified to you or to which you consent, or which is permitted by applicable law.

Notwithstanding any legal basis identified above, if you are a resident of Canada, we process your personal information on the basis of your consent (which may be express or implied), except where otherwise permitted or required by applicable law.

How We Share Information: We may share information with third parties for any purpose described in Section 2 above (“How We Use Information”), or for any other purpose that has been notified to you or to which you have consented.  This generally includes sharing information with the following categories of recipients:

  • Affiliates. We may share personal information with Collectors’ affiliates to the extent necessary for the purposes outlined in Section 2 above.

  • Service providers. We may share information with service providers who process personal information for limited purposes in support of the Services or other Collectors business and operational needs, such as (without limitation) by hosting data or our Services, helping us send newsletters, processing payments, and detecting and preventing fraud.

  • Partners. If you participate in a cross-branded offering (including but not limited to those that PSA offers in partnership with eBay), Collectors will share your personal information with the applicable partner (and/or their affiliated entities) as needed to provide the offering, for compliance purposes, to understand, enhance, and improve the partnership and partner’s services, and for other purposes permitted under the terms of the offering. We may also share your contact information with partners for their own marketing purposes, subject to your consent if required under applicable law. The partner will act as an independent controller. You may opt out of sharing your personal information with Collectors partners for marketing and other non-essential purposes by submitting a request as provided in the “Your Privacy Rights” section, below.   • Other collectors & users, or the general public. Our Services may enable you to share information about your collectibles with other collectors or the public, or to offer your collectibles for sale, such as by (a) posting information about your collectibles on our Services, and/or (b) listing collectibles for sale via a publicly-accessible marketplace.  In such cases, as applicable, your information (including information you provide about your collectible(s)) may be accessible to other collectors or to the general public.  Similarly, if you post about, bid on, or purchase a collectible, your information may became publicly available, and/or may be shared with the seller of the collectible.  Lastly, if you participate in our user fora and/or message boards, anything you post may be viewed by other users or the public, as applicable.

  • Event-related sharing. If you register for an event we organize, we may share your personal information in connection with enabling your participation in the event, such as (for instance) by sharing your name with the facility where the event is occurring.  Your information may, to the extent permitted by law, be shared with other event participants.

  • Compliance- and security-related transfers.  We may share personal information with third parties in connection with (a) complying with, establishing, asserting, exercising, defending against, or enforcing any legal claims, legal rights, legal obligations, legal process, Collectors policies, government requests, or prudent security or business practices; (b) protecting the health, safety, welfare, rights, or interests of you, us, any third party, or the general public; or (c) protecting the safety and integrity of our Services, troubleshooting issues, and detecting and preventing errors, fraudulent activity, or other potentially wrongful, harmful, or illegal activity.  This may include disclosures to other collectors, insurance companies, law enforcement, third-party owners, or others.

  • As you direct. We may share information with other companies to whom you request that we share it.  For instance, our Services may enable you to designate others authorized to act on your behalf; if so, we share information about you with such third parties.

  • Business transactions. We may share or transfer information with another business in connection with a merger, acquisition, or sale of our assets.

SMS Terms & Conditions. By providing your mobile phone number, you consent (“opt-in”) to receive SMS messages from Collectors for such purposes. Message frequency may vary. Your carrier may apply its standard message and data rates. You may opt out of receiving SMS messages at any time by replying with "STOP" to any SMS message you receive from us. After opting out, you will receive a confirmation message, and we will cease sending SMS messages to your number. If you need assistance or have questions about our SMS service, reply with "HELP" to any SMS message you receive, or contact our customer support team at [email protected].

Security. The Collectors Cybersecurity Team is responsible for securing your information. We employ industry best practices intended to safeguard data from misuse, unauthorized access or disclosure, loss, alteration or destruction including but not limited to end-to-end encryption, multi-factor authentication, and regular penetration testing. We apply an adaptive risk-based approach to security, ensuring resilience against evolving threats while complying with applicable laws and regulations. We limit access to personal information to employees with a need to know, which may include employees in our marketing, operations, fulfillment, finance, audit, and legal departments. We have established an incident response protocol to minimize the impact of security incidents. These controls are strengthened by a security training and awareness program for all employees, as well as policies and procedures regarding the management of personal information throughout its lifecycle.

Retention of Personal Information. We maintain record retention policies and procedures that govern our retention of personal information. We generally retain personal information for as long as is necessary to perform the purposes for which it was collected, as outlined in this Privacy Policy, unless applicable law permits or requires a longer period.  Please note that this means that, in some cases, we may be required to retain personal information after the end of our direct relationship with you.  If you have questions about the period for which data may be retained, contact us as set forth in the section “Contact Us” below.

Location of Services; Transfers. Collectors and the servers that provide our online Services are located in the United States.  By using our online Services, you understand and agree that your personal information may be collected and stored in the country of collection and the United States.

Updating Your Information. You can always request to update information we hold about you by logging in to your Collectors ID account and updating your information there, or by contacting us as described below in the section titled “Contact Us.”

Minors. Our Services are intended solely for use by persons 14 years of age or older.  If you are under the age of 14, you may not use our Services.

Your Marketing Choices. You can opt-out of receiving marketing emails or newsletters from us at any time by clicking the “Unsubscribe” link in any such email, or by emailing us as set forth below in the “Contact Us” section.  Please note that even if you opt out, we may still send communications to you about your transactions, any accounts you have with us, any request or inquiry you have made, or other non-marketing related matters.

Interest-based Advertising. Our Services may work with third parties such as advertising networks to provide you with advertisements that you see as part of the Services, or on other websites or apps.  These parties may use technology that can collect personal information about your online activities over time and across different websites when you use our Services. To learn more about your ability to opt out of certain of these technologies and for other information, you can visit the Digital Advertising Alliance and the Network Advertising Initiative.  You can also click on “Cookie Preferences” through the Osano modal to manage the cookies on our Services.

Links to Other Sites: Our Services may contain links to other websites or platforms. These websites operate independently from us, and their privacy practices are subject to their own privacy notices or policies, which we strongly encourage you to review to understand their procedures for collecting, using and disclosing personally identifiable information. We are not responsible for the content of the linked websites, any use of these sites, or the privacy practices of these sites.

Your Privacy Rights. Where required by law, you may request:

  • that we provide you with access to the personal information we hold about you, including information about how that personal information has been processed;

  • that we delete personal information about you, and/or deregister an account you have created with us;

  • that we provide you or another organization with a machine-readable copy of certain personal information you provided to us;

  • that we restrict our processing of personal information;

  • to withdraw consent we previously obtained from you in regards to specified data processing; and

  • to object to processing of personal information that is based on our legitimate interests.

Depending on where you live, you may also have the right to lodge a complaint with our Privacy Officer or with a data protection supervisory authority.  We will respond to any complaints in accordance with our complaints handling policies. We may require you to verify your identity before we process any request you make with us relating to personal information.

Making a Privacy Request. To make a request to limit or restrict certain sharing or processing of your information, please use our Opt-Out Webform here. Global Privacy Control. We process opt-out preference signals from Global Privacy Control (“GPC”), a technical specification you can use to automatically inform websites of your privacy preferences regarding “sales,” “sharing,” and “targeted advertising.” For more information on GPC, please visit the Global Privacy Control website.

Do Not Track Signals. As of the Effective Date listed below, there is no commonly accepted response to Do Not Track signals initiated by browsers. Therefore, our Services are not designed to respond to such signals.

Changes to this Privacy Policy. We may modify this Privacy Policy from time to time, and will post any revisions on this website.  We will indicate at the bottom of the Privacy Policy the Effective Date of the most recent update. By using our Services following an update, you accept and agree to this Privacy Policy in its updated form.

Supplemental Sections

A. Supplemental Terms for Mexico

These terms supplement our Privacy Policy with specific information applicable solely to the data processing conducted in Mexico, by Collectors Universe Mexico Limited, S. de R.L. de C.V., with legal address located at: Avenida Adolfo López Mateos Nte 95 Italia Providencia 44648 Guadalajara, Jalisco, México, which is the data controller for Mexico, pursuant to the Federal Law on the Protection of Personal Data held by Private Parties (“MDPL”) and its Regulations in force (collectively, the “Mexican Data Privacy Regulation”).

This Privacy Policy refers to personal information and personal data indistinctively. The term “personal data” in this Privacy Policy refers to the information relating to an identified or identifiable natural person. In the event of a conflict between the provisions of this Privacy Policy and the Supplemental terms for Mexico, the Supplemental terms for Mexico (“Mexico Supplement”) shall prevail and control. 

  • Information collected indirectly. In the event that we have obtained your personal data through indirect means (see section “1. Information We Collect” (above), you have a period of 5 (five) business days, as from our first contact with you, to refuse the processing of your personal data by using the contact details described under section “ARCO rights” (below).

  • Our Use of Personal Information. We use personal information we collect for the same purposes described in section “2. How We Use Information”.

  • Primary Purposes. From the above, the personal data we collect will be used for the following purposes that are necessary as applicable to: (i) comply with our obligations arising from a legal or contractual relationship (including to take steps at your request prior to entering into a contract), (ii) comply with legal requirements, (iii) to exercise our rights (e.g., our rights include protecting and defending our legal rights and interests, for data analysis, audits, fraud monitoring and prevention, and developing new products or services, enhancing, improving or modifying our sites, identifying usage trends, determining the effectiveness of our promotional campaigns, and operating and expanding our business activities), and consequently, consent would not be required based on consent exceptions set forth in the Mexican Data Privacy Regulation:

    • Operate, manage, and provide our business and our Services.

    • Communicate with you and process your requests.

    • Analytics, improvement, and product/service development.

    • Personalization

    • Processing job applications.

    • Protection of interests, security and integrity.

    • Compliance and claims.

  • Secondary Purposes. Unless you indicate otherwise (e.g., opt-out), we may process your personal data for marketing materials and promotional events. These are secondary purposes requiring your consent (which do not involve sensitive, financial or economic data). If you do not want your Personal Data to be processed for the secondary purposes, you can opt-out by following the procedure described in the “ARCO Rights” section, below. In case you object to any secondary data processing, it should not be a reason to terminate our legal relationship.

  • Data Transfer Purposes. Your personal data may only be transferred to the third parties stated in Section “3. How We Share Information” and for the purposes described in Section “2. How We Use Information”, or for any other purpose that has been notified to your or to which you have consented (except for marketing purposes). These purposes are deemed necessary and consequently, the consent exceptions set forth in the Mexican Data Privacy Regulation would apply. The third parties to whom we transfer your personal data may be located in Mexico or abroad, and include our Group Companies, relevant authorities, and the third parties described in this Privacy Policy.

  • Data Subject Rights (ARCO rights). You have the right to access, rectify, delete or object to the use of your personal data, as well as to withdraw your consent and limit the use or disclosure of your personal data, to the extent permitted by Mexican Data Privacy Regulation (hereinafter, the “ARCO Rights”). You may exercise the ARCO Rights by using the contact details at section “13. Making a Privacy Request” above.

    • The request referred to in the previous paragraph must include:

      • Full name of the data subject and the means through which we will communicate the response to your request (e.g., by email).

      • Documents proving your identity or that of your legal representative.

      • A clear and precise description of the personal data for which you intend to exercise any of the ARCO Rights (except for the right to access), as well as the ARCO Rights to be exercised, and

      • Any other element that may facilitate the location of the personal data with respect to which you intend to exercise the ARCO Rights.

    • Once the ARCO Rights request has been received:

      • We will have a period of 20 (twenty) business days to provide a response regarding the validity or invalidity of your request.

      • If the request is valid, we will have an additional period of 15 (fifteen) business days to grant the request.

      • The aforementioned term may be extended for an equal period of time when justified and previously informed to you.

      • In case the exercise of the requested right is deemed as invalid, we should respond to your request, explaining the reasons for such denial, within the previously stated period of 20 business days.

  • Automated Processing. We do not use automated processing without human intervention. You have the right to oppose or request the cease of an automated processing following the procedure described in the “ARCO Rights” section, to the extent that it produces undesired legal effects to you or significantly affects your interests, rights or freedoms.

B. Cookie Statement

Our Services may use cookies or similar technologies like pixels, beacons, or software development kits (collectively, “Cookies”).  Cookies are small text files that are sent by a site or app to your device where it is stored by your web browser, or in your app. Cookies can remember information about you, such as your login information and preferences, and also help provide functionalities or services to you.

The personal information collected by Cookies is described in the section of our Privacy Policy titled “Information We Collect”.  You can manage your cookie preferences on our websites by navigating to the Osano cookie management tool.
